GENERAL SUMMARY

 

Assists the Director of Operations in effectively maintaining an accurate record of district inventory.  Adheres to district procurement procedures and guidelines.  Assists the Director of Operations in maintaining an efficient and orderly office.  Serves as a liaison between the Operations department and school facilities. Reports to the Director of Operations.

 

 

ESSENTIAL FUNCTIONS

 

Purchases district supplies in accordance with state and district procurement policies and procedures.

 

Assists Principals, department managers, and supervisors with purchases.

 

Prepares specifications for supplies and equipment.

 

Reviews bids or quotations as appropriate and recommend.

 

Maintains a current list of approved vendors.

 

Maintains a current library of equipment and supply catalogs.

 

Completes reports pertaining to the function of the warehouse.

 

Maintains a close working relationship with school Principals, supervisors, and contractors.

 

Maintains a record of warehouse inventory.

 

Ensures delivery of inventory is made to final point of use.

 

Conducts year-end inventory audits.

 

Schedules activities of the district courier and other operations staff.

 

Dispatches maintenance personnel on routine and emergency requests.

 

Maintains an accurate record of maintenance requests.

 

Maintains and organizes Safety and Fire Marshall reports for all District facilities.

 

Maintains and organizes security alarm reports.

 

Maintains an accurate record of work orders.

 

Assists with maintenance related correspondence.

 

Schedules the use of meeting rooms for district personnel.

 

Prepares reports as directed.

 

Must be available for after-hour emergencies.

 

Interacts with others in a respectful and cooperative manner at all times.

 

Willingly performs other duties as assigned or requested.

 

JOB SPECIFICATIONS

 

Education and Experience:

 

High school education or equivalency. Bachelor’s degree preferred.  Minimum 5 years of experience in operations, office management, and inventory management.  Excellent written and verbal communication skills.  Experience in building construction a plus. Valid South Carolina Driver’s license required.

 

Knowledge:

 

Knowledge of the policies, procedures and activities of the school District which pertains to the specific duties and responsibilities of the position.  Knowledge of the records, forms and reports which must be prepared and maintained.  Knowledge of proper maintenance of equipment, materials and supplies used in daily work. 

 

Skills/Effort:

 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.  Ability to write routine reports and simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employers of the organization.  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

 

Ability to follow instructions, both written and oral. Ability to interpret a variety of technical instructions in mathematical or diagram forms and deal with several abstract and concrete variables.

 

Working Conditions:

 

While performing the duties of this job, the employee is regularly required to stand, walk; use hands and fingers to handle, or feel objects, tools, or controls; and talk or hear.  The employee is frequently required to reach with hands and arms and operates machinery.  The employee is occasionally required to sit.  The employee frequently must squat, stoop or kneel, reach above the head and reach forward.  The employee continuously uses hand strength to grasp tools and climb on to ladders.  The employee will frequently bend or twist at the neck and trunk more than the average person while performing the duties of this job.

 

The employee must frequently lift and/or move up to 50 pounds such as a toolbox.  Occasionally the employee will lift and/or move up to 90 pounds such as furniture.  The employee will sometimes push/pull items such as tables, scaffolds, and cabinets.  Specific vision abilities required by this job includes close vision, color vision, depth perception, peripheral vision, and the ability to focus.

 

While performing the duties of this job, the employee regularly works indoor and will occasionally work outdoors. The employee will work near or with moving mechanical equipment.  The employee may work with toxic or caustic chemicals such as petroleum products, degreasers, sprays, and non-household dust.  The noise level in the work environment is usually moderate and occasionally will work in a loud area.  Routine local travel required; occasional overnight travel required. Requires ability to work under a degree of stress related to duties that require considerable attention and meeting deadlines. Duties of the job require frequent use of a computer monitor and related equipment.
