GENERAL SUMMARY

 

Under regular supervision, performs various routine-to-moderately complex clerical work to help ensure efficient and effective office operations. Provides assistance to supervisor, co-workers, students and the general public as required. Reports to the Principal.

 

ESSENTIAL FUNCTIONS

 

Answers the telephone; provides accurate information to callers and/or forwards calls to appropriate staff person. Greets office visitors and performs customer/public service duties as required.

 

Assists supervisor and other school staff by performing a variety of routine clerical duties, which may include but are not limited to typing reports and correspondence, copying and filing documents, collating materials, distributing materials, faxing information, maintaining logs and lists, processing incoming and outgoing mail, etc.

 

Enters and retrieves computer data.

 

Signs students in / out.

 

Assists with student enrollment.

 

Prepares, types, copies, files, transmits and/or mails various routine and confidential letters of correspondence, forms, records and reports.

 

Responds to inquiries and requests for information and assistance from school / District personnel, students, parents, and the general public; provides copies of printed informational materials as requested.

 

Operates and maintains a variety of equipment, which may include a computer, printer, typewriter, copier, fax machine, telephone, two-way radio, calculator, etc.; uses clerical, computer and copier supplies.

 

Interacts and communicates with a variety of individuals and groups, including the immediate supervisor, co-workers, other school administrators and staff, District administrators and staff, students, parents/guardians, and the general public.

 

Interacts with others in a respectful and cooperative manner at all times.

 

Willingly performs other related duties as assigned or as required.

 

JOB SPECIFICATIONS

 

Education and Experience:

 

High school graduate with one to two years of clerical experience; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities. 

 

Knowledge:

 

Knowledge of Business English, grammar, spelling, punctuation, and mathematical computation.  Working knowledge of departmental policies, procedures, and operations.  Comprehensive knowledge of District switchboard, phone and computer systems. Knowledge of departmental responsibilities and key contact personnel.  Knowledge of modern office procedures, systems and equipment such as typewriters, calculators, and word processors. 

 

Skills/Effort:

 

Ability to interact professionally and courteously with others, including difficult people.  Ability to maintain standards of accuracy in exercising duties.  Ability to operate a switchboard and forward calls. Ability to work on various assignments and secretarial tasks.  Ability to type clear copy at the minimum required rate.  Skill in the use of general office equipment such as calculators, word processors, computers, etc.  Good written and verbal communication, organization, mathematical, organizational, and telephone skills.  

 

Working Conditions:

 

Conducts duties in an office environment with no significant exposure to environmental conditions.  Requires ability to work under a degree of stress related to duties that required constant attention, and meeting deadlines.  Physical demands are restricted to office work requiring lifting/moving of items weighing up to 25 pounds.   Job requires the operation of standard office equipment.  Nature of job requires frequent use of computer and monitors for long durations.
